Clearing - Air Clearing BOE Management Section

Description

A BOE (Bill of Entry) is the customs declaration submitted to customs authorities for cargo clearance.

In Air Clearing:

  • One Air Clearing File may contain:
    • No BOE yet
    • One BOE
    • Multiple BOEs

Multiple BOEs are required because:

  • Amendments may happen
  • Cargo may be split
  • Customs may request additional declarations

This section must allow the operations team to maintain all BOEs related to the Air Clearing File.

The grid should follow the same format as Ocean Clearing.

Add / Update BOE Popup

Popup Title: Bill of Entry

The popup should open when the user clicks:

  • Add BOE button
  • Edit BOE action

Functional Requirements

1 – Display List of BOE Section

The system must display the List of BOE section within the Air Clearing Add/Update screen.

If no BOE exists, display: "No results found." or follow the same wording currently used in Ocean Clearing.

2 – Add BOE

When the user clicks the Add (+) button:

  • The Bill of Entry popup should open.
  • All fields should be blank by default.
  • Status Type may default to DRAFT, same as Ocean Clearing.

3 – Update BOE

When the user edits an existing BOE:

  • The same Bill of Entry popup should open.
  • Existing BOE data should be populated.
  • Button label should show: UPDATE

4 – Reference Field

The BOE Reference field must follow the same structure used in Ocean Clearing.

5 – Submitted Date

The system should allow the user to capture the date on which the BOE was submitted.

This field is optional unless the BOE status requires it.

6 – Clearance Date

The system should allow the user to capture the date on which the BOE was cleared.

If Status Type = CONFIRMED, CLOSED , or equivalent final status, Clearance Date may be required.

7 – No. Items

The user must enter the number of items declared on the BOE.

Validation:

  • Mandatory
  • Numeric
  • Whole number
  • Greater than zero

8 – Weight (KG)

The user must enter the declared BOE weight.

Validation:

  • Mandatory
  • Numeric
  • Decimal allowed
  • Cannot be negative
  • Should be greater than zero

9 – Storage Area

The user may capture the storage area where the cargo is located.

This field is optional.

10 – Scan Done and Scan Date

If user ticks Scan Done:

  • Scan Date should become required.
  • User must enter the scan date.

If Scan Done is not ticked:

  • Scan Date may remain blank.

Suggested validation message: "Please fill the scan date field."

11 – Exam Done and Exam Date

If user ticks Exam Done:

  • Exam Date should become required.
  • User must enter the exam date.

Suggested validation message: "Please fill the exam date field."

12 – Partial Release and Partial Release Date

If user ticks Partial Release:

  • Partial Release Date should become required.
  • User must enter the partial release date.

Suggested validation message: "Please fill the partial release date field."

13 – Status Type

Status Type is mandatory.

It must use the same dropdown values as Ocean Clearing.

Default value can be: DRAFT

14 – Agencies

The Agencies field must:

  • Be a multi-select dropdown
  • Use the same agency list as Ocean Clearing
  • Allow one or more agencies to be selected
  • Allow no agency if not applicable

15 – Landing/Shipping Toggle

The popup must include the Landing/Shipping toggle.

Default value: No

When toggled to Yes, the value should be saved against the BOE.

16 – Remarks

The user may enter free-text remarks about the BOE.

Remarks are optional.

17 – Save BOE Record

When the user clicks ADD or UPDATE:

  • Validate mandatory fields.
  • Save BOE details.
  • Link BOE to the current Air Clearing File.
  • Close popup after successful save.
  • Refresh the BOE grid.

18 – Multiple BOE Support

The system must allow multiple BOE records for the same Air Clearing File.

This is required because one HAWB/MAWB clearing file may have amendments or additional declarations.

19 – Duplicate BOE Reference Validation

The system must prevent duplicate BOE references within the same Air Clearing File.

Suggested message: "This BOE Reference already exists for the current Air Clearing File."

20 – Delete BOE

Air Clearing should follow the same behaviour as for the ocean clearing.

21 – Activity Log

The system must log BOE actions in the Activity Log section at the bottom of the Air Clearing page.

Given the BOE popup is displayed,
When the user opens Agencies dropdown,
Then the system should show the same agency list used in Ocean Clearing.

6 – Add BOE Successfully

Given mandatory BOE details are completed,
When I click ADD,
Then the system should save the BOE and display it in the BOE grid.

7 – Update BOE Successfully

Given an existing BOE is opened,
When I update details and click UPDATE,
Then the system should save changes and refresh the BOE grid.

8 – Duplicate BOE Reference

Given BOE Reference already exists for the same Air Clearing File,
When I enter the same reference and save,
Then the system should prevent saving and display:

This BOE Reference already exists for the current Air Clearing File.
